Inviting users
You can invite new team members to access your store's admin by sending them an email invitation. When you send an invitation, you can set exactly which permissions the new user will have.
Sending an invitation
- From your admin, go to Settings > Users
- Click Invite User
- Enter the person's email address
- Select the permissions you want to grant them
- Click Send Invitation
The person will receive an email with a link to accept the invitation. The invitation is valid for 7 days.
Tip
Only grant the permissions each person needs for their role. You can always adjust permissions later if their responsibilities change.
Setting permissions during invitation
When inviting a user, you can grant any combination of these permissions:
- Product Management - Add, edit, and manage products
- Order Management - View and process customer orders
- Content Management - Edit pages and content
- User Management - Manage other users' permissions
- Manual Orders - Create orders manually
- Perform Refunds - Process customer refunds
- Add Wallet Transaction - Add credits to customer wallets
- Manage Webhooks - Configure webhook integrations
- Store Configuration - Modify store settings
- Report Access - View store reports and analytics
- Access Print Addon - Use print-on-demand features
The invited user will have exactly these permissions once they accept the invitation.
Managing pending invitations
You can see all pending invitations on the Users page:
- Go to Settings > Users
- Scroll to the Pending Invitations section
- View the email address, permissions, and expiry date for each invitation
Retracting an invitation
If you need to cancel an invitation before it's accepted:
- Find the invitation in the Pending Invitations table
- Click Retract
- Confirm the retraction
The invitation link will no longer work, and the person won't be able to accept it.
Important
Invitations expire after 7 days. If someone doesn't accept in time, you'll need to send a new invitation.
Accepting an invitation
When someone receives an invitation email, they can accept it by:
- Opening the invitation email
- Clicking the Accept Invitation link
- Reviewing the permissions being granted
- Clicking Accept
Once accepted, they'll have immediate access to your store's admin with the permissions you specified.
Tip
Make sure the person uses the same email address to log in that the invitation was sent to. Invitations are tied to specific email addresses for security.
Security best practices
- One invitation per email - You can only have one pending invitation per email address
- Review regularly - Check pending invitations periodically and retract any that are no longer needed
- Verify recipients - Double-check the email address before sending an invitation
- Limit permissions - Start with minimal permissions and add more as needed
