Wallet Balance as at Date Report
The Wallet Balance as at Date report shows the store credit balance held by each customer at a specific point in time. Use it for accounting reconciliation, auditing your total wallet liability, or reviewing how wallet balances were distributed on any given date.
Accessing the report
- Go to Reports in your admin portal
- Click Customers → Wallet Balance as at Date
- Select the report date (defaults to today)
- Click Apply to generate the report
Note
This report requires both Report Access and Add Wallet Transaction permissions.
Understanding the report
The report displays a table of customers who held a non-zero wallet balance on the selected date:
Email address The customer's email, used as the primary identifier.
Full name The customer's first and last name.
Wallet balance The amount of store credit this customer held at the end of the selected date.
The report reflects a historical snapshot — it shows what balances were on that specific date, not the current live balance.
Date selection
Use the date picker to select any past date. The report will show the wallet balances as they stood at the close of that day.
Common use cases:
- Month-end reporting — select the last day of the month to get the closing wallet liability figure for accounting purposes
- Year-end accounts — select 31 December to determine the total outstanding wallet balance at your financial year end
- Dispute resolution — check what a customer's balance was on a specific date to resolve a query
Tip
For accounting purposes, run this report on the last day of each month and save the export. This creates an audit trail of your wallet liability over time.
Pagination
For large customer bases, the report displays customers across multiple pages. The pagination controls at the bottom of the table allow you to navigate through the results.
Exporting data
The export function downloads all records regardless of the current page view, giving you a complete dataset in a single file.
- Select your report date
- Click Export CSV or Export Excel
- Save the file securely
Export includes:
- Email address
- Full name
- Wallet balance
Privacy
This export contains personal customer data including names and email addresses. Handle exported files securely and in compliance with GDPR and applicable data protection regulations.
Using the data
Calculate total wallet liability
Sum the "Wallet balance" column in your exported file to determine your total outstanding store credit liability on a given date. This figure should be included in your balance sheet as a current liability.
Reconcile wallet transactions
If the total wallet liability differs from your expectations, compare the report with individual wallet transaction records to identify any discrepancies.
Identify dormant wallet balances
Customers with wallet balances they have not spent in a long time may benefit from a reminder. Export the current date's balances and cross-reference with last order dates to find customers who have credits they may have forgotten about.
