Print on Demand Usage Report
The Print on Demand Usage report helps you understand how customers are using your print products, track paper and material usage, and optimise your print-on-demand offerings based on actual order data.
Accessing the report
- Go to Reports in your admin portal
- Click Products → Print on Demand Usage
- Select a date range (defaults to last 30 days)
- Click Apply to generate the report
Date range filtering
Filter the report to specific time periods:
Quick filters:
- Last 7 days
- Last 30 days
- Last 90 days
- Last 12 months
Custom range:
- Click Custom Date Range
- Select start and end dates
- Click Apply
The report includes only orders placed within the selected period, excluding orders with Creating or Refunded status.
Tip
Compare different date ranges to identify seasonal patterns in print specifications. For example, do customers order more colour prints during certain months?
Understanding the data
The report aggregates print-on-demand order items and groups them by print specifications. Each row represents a unique combination of specifications.
Product information
Product SKU The product identifier for the print-on-demand item.
Print specifications
Paper Size
- A4, A5, Letter, Legal, etc.
- Shows which sizes are most popular
Scaling Mode How images are fitted to the page:
- Fit to page
- Fill page
- Original size
- Custom scaling
Duplex Mode Printing on one or both sides:
- Simplex (one-sided)
- Duplex (two-sided)
- Helps calculate actual paper usage
Paper Type The material used:
- Standard paper
- Premium paper
- Photo paper
- Card stock
Colour Mode
- Black and white
- Colour
- Helps understand ink/toner costs
Finishing Option Any post-print processing:
- None
- Stapled
- Hole-punched
- Bound
- Laminated
Usage metrics
Sum of Pages Total number of pages printed with this specification combination.
Sum of Copies Total number of copies ordered with this specification.
Sum of Sales Total revenue generated from orders with this specification (in your store's currency).
Interpreting the report
Calculate costs
Use the Sum of Pages to estimate:
- Paper costs - Multiply pages by paper cost per sheet (accounting for duplex printing)
- Ink/toner costs - Different rates for colour vs. black and white
- Finishing costs - Count items requiring stapling, binding, etc.
Example:
- 1,000 pages in duplex mode = 500 sheets of paper
- 500 sheets × £0.05 per sheet = £25 paper cost
Identify profitable specifications
Compare Sum of Sales against estimated costs to see which specifications are most profitable.
High-margin opportunities:
- Premium paper with higher prices
- Colour printing with appropriate markup
- Finishing options that add value
Low-margin alerts:
- Specifications with high costs but low sales
- Consider adjusting pricing or promoting alternatives
Optimise inventory
Stock paper and materials based on actual usage:
- Order more of the most-used paper sizes
- Keep less inventory of rarely-ordered specifications
- Negotiate bulk discounts for high-volume items
Understand customer preferences
Popular combinations:
- What specifications do customers choose together?
- Are colour prints usually on premium paper?
- Do duplex orders typically include finishing options?
Use these insights to:
- Create pre-configured product bundles
- Set better default options
- Design new print products that match demand
Exporting the report
Export the aggregated data for further analysis:
- Apply your date range filter
- Click Export CSV or Export Excel
- Save the file
Export includes all columns:
- Product SKU
- Paper Size
- Scaling Mode
- Duplex Mode
- Paper Type
- Colour Mode
- Finishing Option
- Sum of Pages
- Sum of Copies
- Sum of Sales
Tip
Import exported data into accounting software to track print-related costs against revenue, or use it to create custom charts and visualisations.
Using the data
Use this report data to:
- Analyse costs by comparing specifications against your actual per-page costs
- Negotiate with suppliers using historical usage patterns
- Design new print products based on popular customer preferences

Report limitations
What's included:
- Only print-on-demand order items
- Orders in Completed, Processing, and Fulfilled status
- All print specifications from order items
What's excluded:
- Creating orders (not yet confirmed)
- Refunded orders (cancelled transactions)
- Non-print products
- Orders outside the selected date range
