Editing products
You can edit any product in your store to update its details, images, pricing, or settings.
Editing a product
- Go to Products
- Click on the product you want to edit
- Make your changes
- Click Save
Tip
Changes are saved immediately. If you're making major changes, consider unpublishing the product first.
Product details
Edit the core information about your product:
- Name - The product title
- Description - Rich text description with formatting
- SEO Description - Description for search engines
- Slug - URL-friendly product identifier
- Primary Category - Main category for the product
- Additional Categories - Other categories the product appears in
- Tags - Keywords for filtering and search
Pricing
- Price - The regular selling price
- Discounted Price - Optional sale price (shown with strikethrough on original)
Images
- Add new images by uploading or selecting from media library
- Remove existing images
- Reorder images by dragging
- First image is used as the primary product image
Stock management
- Enable Stock Management - Track inventory levels
- Stock Quantity - Current stock level
- Low Stock Amount - Threshold for low stock alerts
- Stock Status - In Stock, Out of Stock, or On Backorder
Shipping settings
Configure how this product can be shipped to customers.
Fulfilment Tags
Select which fulfilment tags apply to this product. Tags determine which shipping options customers see at checkout.
How it works:
- Select one or more tags that match how this product can be fulfilled
- Customers will only see shipping options that match the tags on products in their cart
- If you select multiple tags, customers can choose between different delivery speeds or methods
Example: A book with both "Standard Shipping" and "Express Shipping" tags lets customers choose between regular or fast delivery at checkout.
Important
You must set up fulfilment tags in Shipping Configuration before they appear here. If you see "No fulfilment tags configured", create your tags first.
Weight
Enter the product weight in grams. Weight is required if any of the selected fulfilment tags have "Requires Weight" enabled.
When weight matters:
- Weight-based shipping pricing (e.g., "£5 for 0-1kg, £8 for 1-2kg")
- Carrier rate calculations
- Automatic package splitting for heavy orders
When you can skip it:
- Flat-rate shipping (same price regardless of weight)
- Digital products
- Collection options where customers pick up
Tip
Include packaging weight in your measurement. If a product weighs 200g but ships in 50g of packaging, enter 250g.
Metadata
Add custom key-value pairs to store additional information about your product that doesn't fit into standard fields.
Adding metadata
- Scroll to the Metadata section
- Click Add Metadata
- Enter a unique Key (e.g.,
manufacturer,warranty_years) - Enter the Value
- Click Add Metadata to save
Editing metadata
- Click the edit icon next to any metadata entry
- Update the key or value
- Click Update Metadata
Removing metadata
- Click the delete icon next to the metadata entry
- The metadata is removed immediately when you save the product
Important
Metadata keys must be unique. You cannot have two metadata entries with the same key name (case-insensitive).
Use cases for metadata
- Custom product attributes - Store manufacturer details, warranty information, or technical specifications that customers can see
- Product specifications - Add material type, dimensions, care instructions, or country of origin
- Extended information - Display additional product details like certification numbers or compliance information
- Customer filtering - Customers can filter products by metadata on category and tag pages
- Admin filtering - Use metadata keys to filter and organise products in admin views
Customer-facing metadata filtering
When you add metadata to products, customers can use it to filter products on your website:
On category pages: Customers browsing a category can filter by metadata keys. For example, if you add material: cotton and material: polyester to different products, customers can filter to see only cotton products.
On tag pages: Same filtering capability applies when customers browse by tags.
Best practices for filterable metadata:
- Use consistent key names across products (e.g., always use
material, notfabricorcloth) - Keep values simple and clear (
cotton, not100% Egyptian Cotton) - Common filterable metadata: material, size, colour, brand, country of origin
- Customers can combine filters (e.g.,
material: cottonANDbrand: YourBrand)
Tip
Plan your metadata keys before adding them to products. Consistent naming makes filtering more useful for customers.
Changing Product SKU
The product SKU (Stock Keeping Unit) is the unique identifier for your product. You can change a product's SKU whilst maintaining all historical data and SEO value.
When to change a SKU
- Reorganising your product catalogue with a new naming scheme
- Correcting mistakes in original SKU assignment
- Migrating from another system with different SKU format
- Consolidating products under a new identifier
How SKU changes work
When you change a product SKU:
- The product gets the new SKU - All future references use the new identifier
- Redirects are created - Old product URLs automatically redirect to the new URL
- SEO is preserved - Search engines are told to update their index via redirects
- Statistics are updated - Product statistics reference the new SKU
- Cache is cleared - Website caches update to show the new product URL
Important
Changing a product SKU is a significant operation. Make sure the new SKU doesn't conflict with existing products or variant codes.
Changing a product's SKU
- Open the product you want to change
- Ensure all changes are saved (the form must be clean)
- Click Change SKU button
- Enter the new SKU (alphanumeric characters, hyphens, and underscores only)
- Review the warning about the operation's impact
- Click Change SKU to confirm
- You'll be automatically redirected to the product's new URL
The Change SKU button is disabled when:
- You have unsaved changes in the product form
- You need to save or discard changes first
SKU validation
New SKUs must:
- Be unique (not used by any other product or variant)
- Contain only letters, numbers, hyphens, and underscores
- Not be empty
What happens to old links
Customer bookmarks and external links: The old product URL will automatically redirect to the new URL, so customers and search engines can still find the product.
Search engine results: Search engines will gradually update to show the new URL. The redirects ensure no loss of search ranking.
Product status
Control where and how products appear in your admin portal and website.
Published status
- Published - Visible to customers on your store
- Draft - Hidden from customers, still editable
Use the Publish or Unpublish button to change status.
Admin Portal Only
The Admin Portal Only toggle controls whether a product appears on your public website, whilst keeping it available for manual orders in the admin portal.
When enabled:
- Product is hidden from your website (customers cannot see or purchase it)
- Product remains available in admin portal for manual order creation
- Useful for internal products, custom items, or special order-only products
When disabled (default):
- Published products appear on your website
- Draft products remain hidden from both website and customers
Use cases for Admin Portal Only products
Custom printable products: Products that you only create when specifically requested, not displayed in your catalogue.
Internal products: Items used for testing, internal orders, or staff purchases.
Manual order items: Products that require consultation or customisation before purchase, only sold through direct contact.
Special request products: Items available to specific customers or through offline channels only.
Note
Admin Portal Only works independently of Published/Draft status. A product can be both Published and Admin Portal Only (hidden from website but marked as published for organisation).
Deleting products
Draft products can be deleted:
- Open the product
- Click Delete
- Confirm deletion
Important
Only draft products can be deleted. Published products must be unpublished first.
